Senior Manager Administration

10 - 15 Years Chennai 

Job Purpose:

The Senior Manager - Administration will be responsible for planning and coordinating administrative procedures / systems and monitor inventory of office supplies and the purchasing of new materials with attention to budgetary constraints. S/he oversees facilities services, housekeeping, travel and transportation; maintenance activities (electrical, plumbing, mechanical) etc. and ensure smooth and adequate flow of information within the company to facilitate other business operations.

Job Description:

Responsible for administration / facility management functions of the company like travel, transport, Visa processing, security, CCTV, accommodation / guesthouse maintenance, housekeeping etc 

Responsible for managing various vendors related to office and office supplies / maintenance and their agreements / contracts and ensure process compliance for all admin operations

Define the budgets, for the day to day operations of the Administration & Facilities function and track and monitor budget vs. spend and ensure effective utilization of the budgets

Responsible for managing all STPI / statutory compliances and also handle all admin related audit requirements ensuring minimal NCs

Define the Service Level Agreements for each service under the Administration & Facilities function, in line with the stakeholders/business expectations

Lead the day-to-day office services such as Infrastructure Management, transportation, logistics and security, to ensure the services are delivered in line with the agreed SLAs

Responsible for managing employee travel, accommodation and regular transportation ensuring optimum utilization of all company vehicles, maintenance and auditing of vehicle fuel records, utilization records etc

Ensure maintenance of infrastructure including electronics and electrical equipment, safety control systems, physical Infrastructure of the company through defined processes, compliances in line with regulations, agreements and service levels

Collaborate with and support business in planning and execution of events, including infrastructure, refreshments, travel, security etc

Keep abreast of the local environment impacting the functioning of the organization and safety of our people through industry network

Proactive and timely communication of the relevant information to the Senior Leadership team and preparation to address and negate the possible impact

Mitigate risk and exposure through detailed data driven analysis and consideration of impacts and planning, including change management, transition strategies

Ensure timely preparation of MIS, Reports & Dashboards to concerned stakeholders and other authorities as required

Profile Description:

 

Graduate / Postgraduate with at least 10 years of relevant work experience, preferably in BPO / KPO / ITeS / IT organizations with experience in handling multi-shift operations across multiple offices / locations in India

Hands-on knowledge and experience working with government/statutory bodies on various administrative matters

Should have experience in at least 2-3 new project implementations, as part of facility expansion plans

Experience on commercial matters like identifying and developing vendor/supplier base for cost effective purchases, procurement of quality materials 

Confident personality, commitment to high-quality output and service with strong organizational skills, people management ability to multi-task, handle challenging situations with a flexible, logical and proactive approach

Design guidelines, provide advice, guidance and on the job coaching to colleagues on process and corporate to consistently manage the performance of direct reports

Mapping business requirements and coordinating in the smooth functioning of processes in line with the pre-set norms; spearheading process operations and knowledge transfer initiatives

Should be a self-starter, team player and at the same time be proactive and assertive and display great leadership traits to support colleagues and acumen to adapt to new work environments

Excellent written, oral, interpersonal, and presentation skills and the ability to effectively interface with senior management
