Job Description

Administrative Assistant-sriperumbudur

 5 - 10 yrs  Chennai 

Provide administrative support for Director, in addition to supporting a subset of direct senior leaders including coordinating meetings, maintaining calendars, preparing letters and memos, answering phone calls, filing, managing e-mail, as well as leading or participating on several project teams

Some off hours support may be required to support other regions

Coordinate travel arrangements including scheduling, preparing itinerary and agendas; assisting in acquiring travel documents (passports and visas) as needed. 

Prepare expense reports as needed. 

Ability to assist with presentation preparation & site communication creation & distribution

Coordinate, organize, schedule meetings.

 This includes preparing and distributing agendas, conf room preparation, catering, and if needed minutes with task lists

Provide technical support for conference calls and/or arrange appropriate media support as needed 

Assist in organizing departmental business events. Coordinate, organize, and schedule various events on site and off site as needed. 

Manage and/or create SharePoint sites, lists, and libraries 

Maintain department files containing proprietary and confidential information

Manage confidential and proprietary information with discretion and sound judgment

REQUIRED SKILLS:

Professional, highly organized and collaborative 

Ability to communicate effectively (written and verbal) with all 

levels of personnel, as well as with external associates and customers globally 

Ability to work in a dynamic and fast paced environment 

Ability to prioritize and manage multiple tasks simultaneously Detail oriented, ensures tasks are followed up to completion 

Ability to manage confidential and proprietary information with discretion and sound judgement 

Excellent MS Office & Outlook skills. Experience with Excel, PowerPoint, Word and SharePoint 

Excellent interpersonal skills including sensitivity to diverse cultures 

Work to achieve departmental goals and strive for customer satisfaction
